When delivering support to NDIS participants, it’s essential that providers invoice only for the actual time spent. This means using pro-rata billing for any services priced by the hour or per unit—no rounding up to the next hour. 

This practice helps promote transparency and fairness, ensuring participant funds are used responsibly. Whether you’re providing: 

  • In-person support
  • Travel associated with services
  • Behind-the-scenes tasks like rostering or writing progress notes
  • NDIA-requested reports
  • Eligible cancellation charges when participants cancel last minute or don’t attend 

How to Claim for Partial Support
Let’s say the hourly rate for a support item is $193.99, as set in the NDIS Price Guide. If you delivered only 30 minutes of support, you should claim 0.5 units—not the full hour.

Keep in mind:

  • You must choose either the number of units or time in hours—not both. 
  • Claims are calculated using unit price × quantity delivered. 

It doesn’t matter how you send your invoice—via email or your Provider Portal —the rule applies either way.

The below examples are taken from the NDIS Price Guide and show how to claim when delivering partial support units. 

Example 1   
A provider agrees to deliver a support to a participant at an hourly rate of $100.  

If the provider delivers support for 30 minutes, they can claim for a quantity of 0.5 units or 0.30 hours. This should be claimed at a unit price of $100, resulting in payment of $50.  

Example 2
A provider agrees to deliver a support to a participant at an hourly rate of $190.  

If the provider delivers 45 minutes, they can claim for a quantity of 0.75 units or 0.45 hours. This should be claimed at a unit price of $190, resulting in payment of $142.50.

Travel Time Adjustments for Therapy Providers 
Under recent updates to the NDIS Pricing Arrangements and Price Limits (PAPL), travel claims for therapy-based services have been halved. Providers offering services like: 

  • Physiotherapy
  • Speech Pathology
  • Psychology 
  • Dietetics 
  • Podiatry 

may now only claim 50% of the service rate for travel time, calculated on a pro-rata basis. 

Example: For a 30-minute therapy session, only 15 minutes of travel time can be claimed.
